Privacy policy
Last updated October 21, 2026
This policy explains what AnswerReel (“we”) collects, why, who it is shared with, how long it is kept, and how to exercise your rights. Questions go to privacy@answerreel.com.
Two different roles
For candidates, the employer is in charge. When you answer an interview sent through AnswerReel, the company that invited you (the “recruiter”, which may be an employer or a recruitment agency) decides why and how your answers are used. We process your answers on its behalf, as its service provider. The notice you saw before starting names that company.
For our own customers and visitors (recruiter accounts, billing and this website), we decide how the information is used.
What we collect about candidates
- Your name and email address, as entered by the recruiter or by you on an apply page.
- Your answers: video and audio recordings, typed answers, and files you upload, such as a resume.
- What AI produces from your answers, if the job uses AI and you agreed to it: transcripts, follow-up questions, scores with reasons and quotes, and a summary.
- A record of the notice you read: its full text and version, when you ticked “I've read”, your choice about AI, and the IP address you used at that moment.
- Basic technical logs needed to run the service, with links that contain access codes masked out.
We do not analyze your face, expressions, voice, accent or emotions, and we do not try to work out your age, gender, ethnicity or health. Pages you open from an interview link load no advertising or third-party analytics scripts.
How AI is used, and how to say no
If the job uses AI, you choose before you start whether AI may process your answers. If you say no, your answers are not sent to any AI provider, and a person at the recruiter reviews them.
If you say yes, your recordings are transcribed by Deepgram, and the transcript, the questions and the recruiter's criteria are sent to Anthropic to write follow-up questions, scores and a summary. We don't send your video, the name and email address you entered, or the job location to the AI model; if you say your name in an answer, it is part of the transcript the model reads. Anthropic doesn't use data sent through its API to train its models, we switch off Deepgram's model improvement program on every request, and we don't train models on your answers ourselves. The AI only suggests; the recruiter's people decide who moves forward. How the scoring works is published on our AI scoring page.
For questions with a follow-up, the answer is transcribed while you are still answering, so the follow-up can be written. That early transcript is deleted as soon as the follow-up is ready.
How long candidate data is kept
- Submitted answers and everything made from them: 30 or 90 days from submission, depending on the recruiter's plan. The period is fixed when you start, and shown in the notice.
- Answers you started but never submitted: deleted 14 days after the invitation expires or is withdrawn.
- Invitations you never opened: deleted 14 days after they expire.
- Replaced recordings and rejected uploads: deleted straight away.
- Emails you send to our privacy or support address: deleted within 90 days after we finish dealing with them.
- Database backups: deleted data can remain in backups for up to 30 days before the backups themselves are deleted. If a backup is ever restored, deletions made after it was taken are applied again before anyone can access the data.
- After your data is deleted, we keep a minimal record for one year to show the notice was given: a scrambled (hashed) version of your email address, the notice version and the dates. It does not include your name or answers.
Our AI providers keep what they receive only briefly: Anthropic keeps API inputs and outputs for up to 30 days under its policy, and Deepgram retains data according to its terms. They delete it on their own schedules.
Deleting your answers
You can delete your answers yourself from the interview link, before or after you submit, and from the link in your confirmation email. Deletion takes effect immediately and is completed within 24 hours, and we email you when it is done. If your link no longer works, write to privacy@answerreel.com.
Data the recruiter has already copied into its own systems, for example through an export or an integration, is the recruiter's to delete. Ask the recruiter directly, or ask us and we will pass your request on.
Other requests
You can ask for a copy of your data, including transcripts, scores, summaries and uploaded files, or for your name to be corrected. If you think an AI score or summary about you is wrong, we will delete it and switch off AI scoring for your record, keeping your answers so a person can review them. We reply only to the email address linked to the record, so that we know the request is yours, and we answer within 30 days. Questions about the recruiter's decisions, or data the recruiter holds elsewhere, go to the recruiter, and we will forward them for you.
What we collect about recruiters and visitors
- Account details: name, email address, password (stored hashed), company name and country.
- Billing details, handled by Stripe. We see the plan, invoices and the last digits of the card, never the full card number.
- Website usage through Vercel Web Analytics, which counts page views without cookies and without identifying you.
We use this information to provide the service, bill for it, keep it secure, and answer support requests, relying on our contract with you and our legitimate interest in running the business.
Who else handles data
We use a small number of service providers, listed with what each one does and where on our subprocessors page. We do not sell personal data and do not share it for advertising.
Our team may access the service from Hong Kong or mainland China. We do not look at candidate answers in the normal course of work. We open them only when a recruiter asks for support and agrees to it, and every such access is logged.
Where data is stored, and international transfers
Candidate answers and account data are stored in the United States: our database in Ashburn, Virginia, and recordings with Mux. Uploaded files and backups are stored with Cloudflare, which we ask to keep them in the United States but which doesn't guarantee a location. Our subprocessors list gives each provider's location. For data from the European Economic Area, the United Kingdom and Switzerland, our data processing agreement incorporates the European Commission's Standard Contractual Clauses, with the UK Addendum and the Swiss changes where they apply. Section 3 of that agreement lists where our providers' terms fall short, and our subprocessors list gives each provider's status.
Security
Recordings can only be played through links that expire after 15 minutes. Interview, share and delete links use long random codes. Data is encrypted in transit, access is limited to the people who need it, and permissions are checked on our servers for every request.
Your rights
Depending on where you live, you may have the right to access, correct, delete or move your data, to object to or restrict certain uses, and to complain to your data protection authority. Recruiters remain responsible for the decisions they make about candidates. AnswerReel is not meant for anyone under 16.
Changes
If we change this policy in a way that matters, we will update the date above and tell customers by email before the change takes effect.
